Why you should organise your data before switching on Copilot

Copilot and Gemini answer from the files they can see. If your folders are full of old drafts, duplicates and loose permissions, you get wrong answers and risk people seeing things they shouldn't. Tidying first makes AI more accurate and safer.
Common problems we see
Several versions of the same document, folders named by whoever created them, files shared with 'everyone' years ago, and no clear home for current policies or price lists.
A simple checklist
Agree one folder structure for the whole business. Archive anything older than you need. Remove duplicates. Review who has access to sensitive folders. Mark one current version of each key document.
How long it takes
For most small firms, a focused clean-up takes days rather than months. The payoff is better AI answers from day one and less time spent searching for files.
