ChatGPT vs Claude vs Copilot: which suits a small UK business?

By Gary Dhanda · 2 November 2026 · 6 min read

Short answer

Most small firms do well with ChatGPT or Claude for writing, research and analysis, and with Copilot or Gemini if their email and files already live in Microsoft 365 or Google Workspace. The best choice depends on where your data sits and what your team does every day.

Start with where your work already lives

If your team works in Outlook, Word, Excel and Teams, Microsoft 365 Copilot can read your emails, meetings and files with the permissions you already have. If you use Gmail and Google Drive, Gemini does the same job inside Google Workspace.

ChatGPT and Claude sit outside those suites. They are often stronger for drafting, thinking through problems and working with long documents, but you need to give them the right context.

ChatGPT

Good all-rounder with a large range of features: custom GPTs, Projects, voice, image creation and data analysis. The Team and Enterprise plans keep your business data out of model training.

Claude

Strong at careful writing, long documents and following detailed instructions. Claude Projects let you keep reference files and instructions together for a piece of work. Popular with solicitors, accountants and consultants for that reason.

Copilot and Gemini

Best when the value is in your existing email, calendar and files. Results depend heavily on how tidy your folders and permissions are, so data organisation usually comes first.

You don't have to pick only one

Many firms use two tools. The risk is that your prompts, instructions and know-how end up scattered across each vendor. Keeping that knowledge in a memory platform you own means you can switch or combine tools without starting again.
